Privacy Policy

Kanalia is a customer communications platform. This policy explains what personal data we process when you visit our website, speak to our sales team, or use the Kanalia workspace, and the choices you have. Questions can be sent to sales@kanalia.co.

1. Who is responsible

For our website, marketing and sales activities, Kanalia acts as the data controller. When a customer uses the Kanalia workspace to communicate with their own contacts, the customer is the controller and Kanalia acts as processor on their documented instructions.

2. Data we process

  • Contact data — name, work email, telephone number, organisation, country, company size and industry submitted through our contact form.
  • Account data — user profile, role and authentication records for workspace users.
  • Communications content — WhatsApp, voice and email messages, attachments, notes and activity records processed on behalf of our customers.
  • Technical data — IP address, device and browser information, and pages viewed, used for security and aggregate analytics.

3. Why we process it

To respond to enquiries and provide demonstrations (legitimate interests or your consent), to deliver and support the platform (performance of a contract), to keep the service secure and prevent abuse (legitimate interests), and to meet accounting and legal obligations (legal obligation).

4. Sharing and sub-processors

We share data only with service providers needed to run the platform, such as cloud hosting, messaging channel providers (including Meta for the WhatsApp Business Platform), email delivery and error monitoring. Each is bound by a written data processing agreement and may only act on our instructions. We do not sell personal data.

5. International transfers

Where data leaves the UK or the European Economic Area, we rely on adequacy decisions or the UK Addendum to the EU Standard Contractual Clauses, together with additional technical measures such as encryption in transit and at rest.

6. Retention

Enquiry data is kept for up to 24 months from the last contact. Customer workspace data is retained for the life of the subscription and deleted or returned within 30 days of termination, unless a longer period is required by law.

7. Your rights

Subject to UK GDPR and the EU GDPR you may request access, rectification, erasure, restriction, portability, or object to processing based on legitimate interests, and withdraw consent at any time. Email sales@kanalia.co and we will respond within one month. You may also complain to your local supervisory authority.

8. Changes

We review this policy periodically. Material changes are communicated to customers through the workspace or by email before they take effect.
